This week's spotlight is on the art of crafting powerful problem statement/s. 🧩 A well-crafted problem statement is the keystone of a successful Six Sigma project, laying the groundwork for impactful improvements. Let's dive into how you can create a problem statement that truly packs a punch:

🎯 Writing a Powerful Problem Statement for Six Sigma:

It sets the stage for everything that follows, defining the issue, highlighting its impact, and paving the way for improvement.

1. Identify the Specific Problem:

  • Be specific about where and when the problem occurs. Don't say "Customer complaints are high," pinpoint the product, service, or department experiencing the issue.

  • Use data and measurable metrics to quantify the problem. Instead of "delivery times are slow," state "customer orders exceed expected delivery time by an average of 3 days."

2. Understand the Impact:

  • Explain the consequences of the problem on the business. Quantify the financial impact (lost revenue, increased costs) and non-financial impacts (customer satisfaction, reputation).

  • Highlight the urgency of addressing the problem. Does it threaten market share, compliance, or safety?

3. Avoid Solutions and Blame:

  • The problem statement should focus on defining the issue, not proposing solutions or assigning blame. Solutions will come later through the DMAIC process.

  • Stick to objective language and avoid using subjective terms like "unacceptable" or "poor."

4. Use the SMART Formula:

  • Ensure your problem statement is Specific, Measurable, Achievable, Relevant, and Time-bound. This makes it clear, focused, and actionable.

5. Follow this Template:

[Specific process/product/service] in [location] is experiencing [the problem] resulting in [quantifiable impact] due to [possible root cause, if known]. This issue needs to be addressed by [target date] to avoid [consequences].

Example:

"Boerewors production at our food processing plant in Durban is experiencing excessive overproduction, exceeding planned output by 15% on average, resulting in R1.5 million in overstocked inventory per month and potential safety concerns due to reduced shelf life. This issue is likely caused by inaccurate forecasting models and a lack of real-time production adjustments. This problem needs to be addressed by 31 March 2024 to avoid significant financial losses, compliance risks, and damage to our brand reputation.”

Remember:

  • Keep it concise and clear. Aim for a few impactful sentences.

  • Tailor the problem statement to your specific project and industry.

  • Get feedback from stakeholders to ensure everyone understands the problem and its importance.

Following these tips and using the provided template, you can write a problem statement that sets your Six Sigma project on the path to success.
